General Stall Applications

Hello and welcome to the much-loved and long-lived RSF Market Place - where the cultures, the characters and the creations all come together to form a vibrant melting pot of artistic and ethical commerce!  

In the beautiful Pyrenees region near Beaufort Victoria (approx. 2 hours drive from Melbourne), North of the Western Highway is the home of RSF, with a picturesque hilly landscape and stunning mountainous backdrop.   Each of the five music stages will be strategically placed around the multi-levelled site and the markets will adjoin these major attractions to create a labyrinth of sensory indulgence.

The dates for the 2012 event are Friday 27st- Monday 30th January. The entertainment will commence at around 3pm on the Friday and (officially) close at about 8pm on the Monday however you may continue to trade on the Monday night.  This gives you scope to trade for over 100 hours over the festival.

 

Market Vendor Rates

The (non-food) market vendor fee structure is as follows:

Guru Package (Double)

Includes:

  • 6m x 6m Powered stall
  • 3 entry tickets 
  • 2 car/van site access and parking space
  • Medium camping area (4 tents max)

Price  $680

Carny Package (Standard single)

Includes:

  • 3m x 3m Powered stall
  • 2 entry tickets 
  • 1 car/van site access and parking space
  • Small camping area (2 tents max)

Price  $450

Gypsy Package (Suitable for day-trading ‘blanket’ stalls)

Includes:

  • 2m x 2m UNpowered space
  • 1 entry ticket 
  • No car/van site access or parking space

Price  $280

NOTE: ‘Gypsy’ stalls will need to carry a copy of their approved application at all times while trading.  Any trading impermanent or blanket stall without this permit for presentation to any RSF officials requesting it will be asked politely to pack up (and the second time will be asked to leave the event)

Other terms and conditions for Guru & Carny stallholders:

  • Vehicle parking and camping is usually available directly behind the stall spaces however not in all cases. See ‘arrival and departure times’ section below for more information;
  • The above widths are for shop frontage only, any ropes and pegs must not exceed .5m (1/2 meter) from each side of this width measurement;
  • The depth should include working space;
  • Accurate dimensions need to be specified at the time of application

Gypsy stall positions still need to be negotiated and approved by the Market Coordinator

 

Industry Tickets

A maximum of 2 extra tickets for your staff may be purchased at the industry price (tba) via the Market Coordinator.  These arrangements must be made at the same time as your market application and payments prior to the payment deadline.  Please do not ask for extra tickets after the first order and mail-out has been made.

 

Facilities

As well as providing the clientele… Power*, water, toilets, compost, recycling and general waste disposal are all provided by the event and are inclusive in the rates quoted above.  You will need to provide all your own infrastructure and equipment including lighting, power cables, tables etc.

Environment Policy

Rainbow Serpent takes pride in its environment policy.  Working towards carbon neutrality, we will be enforcing the use of biodegradable cutlery & crockery of the food & beverage vendors; using bio-fuel to power the generators; have a glass/aluminium recycling system; operate a compostable toilet system, and strongly promote environmental responsibility to the punters. If your stall uses or distributes any products with unnecessary excess packaging, please respect this policy and limit or refrain from using these products.

We are keen to make your back-of-house waste management as practical as possible. In past years the recycling recovery rate from the market stalls has been low due to contamination levels in the waste streams. There will be three bins (one for food/compostables, one for recycling [plastic and glass] and one for general waste) and a bale (for cardboard – please flatten all boxes).  Please ensure that you and your staff sort your waste and place in it the appropriate receptacle.

 

Stall Positioning

Stalls positions at the 2012 event will be PRE-DEFINED as they were in 2011.  As soon as your application is approved and you have paid the fee you will have the option to select from any of the available pre-numbered sites from the map.

 

Arrival Times:

You may arrive as early as Thursday (26th) in the morning to set up your infrastructure.  You must arrive by no later than Thursday evening at 9pm.  All vendors should be ready to trade by Friday lunchtime.   Power to general market vendors will be available as of Thursday lunch time.

Note: * Vendors are permitted to trade and stay camped overnight on the Monday (after official close) however you must vacate by Tuesday evening. This is a condition of our permit, please respect it.
* Any vendors that arrive at the festival without prior registration will either be refused or placed in a low exposure area and charged the applicable fee.

 

IMPORTANT NEW CONDITIONS:

  • Electricity Generators will be switched on during the hours of 7am – 6pm.   There will be an area designated for stalls that REQUIRE power during these hours for the purpose of trading ONLY.  Please respect this as it is an environmental decision.
     
  • Please note the new deadlines – they are earlier than in the past. 
     
  • Market Stall Opening Hours need to be stated at the time of application and will be monitored at the coming event.  There have been too many vendors closing for long periods of time during festival in the past.  This not only has a negative aesthetic appeal to the general public but it also affects business of surrounding market vendors by detracting these customers.  It is expected that you are open for at least 18 hours of each day - this is why multiple tickets are included in the package.

 

  • The LPG Gas Code of Practice has recently been introduced and will be enforced by fire authorities on site.  The document may be downloaded here to check your requirements.
     
  • In addition to the responsibilities of the individual vendor, the event itself will have much responsibility with coordinating stalls with certain numbers of cylinders as there are restrictions on how many can be on site within a vicinity of each other.  You will be required to state the number of LPG cylinders that will be with you on-site (used or unused) at the time of application.
     
  • Power Usage has been somewhat abused in the last few years which has caused overloads to the generators resulting in loss of business in the market village.  Not only are you required now to test and tag all your appliances and cables, but we ask for your specific power requirements at the time of application.  This will be a contributing factor to your application approval, and power usage will be monitored by our electrical staff on site.

  • General Market Applications - November 1st
  • Payments in full (non-refundable*) – December 1st

Note: *Your application is not confirmed until the deposit has been received.  There is a very high demand for vendor opportunities at RSF - It is advised to get in early to secure your position as we will reach capacity.
*Payments are refundable ONLY with valid reasons given prior to the payment deadline date (January 4th)
